Understanding Timestamped
Timestamped is built around a simple hierarchy that mirrors how investigation work actually flows. Understanding this structure will help you organize your work effectively.
The Hierarchy
Organization
Your investigation firm or agency. Contains all your team members, clients, and cases.
Clients
The companies or individuals who hire you. Insurance companies, law firms, corporations, etc.
Cases
Individual investigations. Each case belongs to a client and contains all related evidence.
Evidence
Videos, photos, audio recordings, and documents uploaded to a case.
Moments
Starred timestamps within videos marking important events with notes and keyframes.
The Workflow
The typical workflow follows this pattern:
- Capture: Record video or take photos in the field using your mobile device
- Upload: Upload evidence to a case (with optional live narration transcription)
- Star: Tag important moments in your videos with timestamps and notes
- Export: Generate professional PDF or DOCX reports with integrity verification
This guide will walk you through setting up each part of the hierarchy and using the core features.
Setting Up Your Organization
When you first sign up for Timestamped, you'll be guided through creating your organization. This is your workspace where all your team's clients, cases, and evidence will live.
Creating Your Organization
- Sign in with your Google account or email magic link
- You'll land on the /orgs page, which shows your organizations and any pending invitations
- Click Create Organization
- Enter your organization name (typically your company or agency name)
- Choose your subscription plan and complete payment
- Your new organization is created and you are set as the owner
Pending Invitations
If another organization has invited you, the /orgs page displays pending invitations. Accept an invitation to join that organization with the role assigned by the inviter. You can belong to multiple organizations and switch between them at any time from the navigation menu.
Subscription Plans
Viewer (Free)
View-only access to shared cases. For clients, attorneys, or adjusters who need to review reports and evidence.
Gumshoe ($9/mo)
Case management essentials with pay-as-you-go storage and transcription. A low-commitment entry point.
Solo ($19/mo)
For independent investigators. Includes 50 GB storage and 20 hours of transcription.
Team ($69/mo)
For small firms with up to 10 members, role-based access, and shared resources.
Agency ($179/mo)
For larger agencies with up to 25 members and generous storage and transcription allocations.

Joining an Existing Organization
If someone has invited you to their organization, you'll receive an email invitation with a link. Click the link, sign in with your account, and you'll automatically be added to the team.
Organization Settings
Once your organization is set up, owners and admins can configure additional settings:
- Letterhead: Add your firm name, address, license number, and logo for professional reports
- Priority Options: Customize case priority labels (e.g., "Urgent", "High", "Normal", "Low")
- Custom Case Fields: Define standard fields for subject information, vehicles, etc.
- Transcription Keywords: Set organization-wide keywords to highlight in transcripts
